Terms and conditions

Nature of Terms and Conditions

These Terms and Conditions  govern your registration as EuCAP and the terms and conditions upon which you are permitted to attend the EuCAP Conference.

Data Protection

The information that you provide to EurAAP will be used to ensure we provide you with products and services that best meet your needs. This may include the promotion of EurAAP products and services by post and /or electronic means.

Payment of registration Fee

Payment of the registration fee will be received by EurAAP at the time of application. Failure to pay the relevant fee will invalidate any conference registration. EurAAP reserves the right to specify the payment method required on a case-by-case basis.

Credit Card payments

If payment is made by credit or debit card, EurAAP will use all reasonable endeavours to keep your credit or debit card details secure while processing the payments. The credit card will be charged immediately after the payment. Where payment is made by credit or debit card, any refunds shall only be made to the credit or debit card used to make payment for the registration.

Recommendation for Travel Planning

We highly recommend to book your travel as flexible as possible. EurAAP takes no financial responsibility in case you have to cancel your travel arrangements.

EuCAP Delegates Disclaimer

EuCAP reserves the right to cancel any event in case of force majeure. An event of force majeure means each contingency that is not caused by one of the parties, was unforeseeable at the time of the conclusion of this agreement and renders the further performance of the obligations under this agreement for the conference organizers, EurAAP impossible or substantially more onerous.

Events of force majeure are in any case, but not limited to the following events: acts of God, armed conflicts, social unrest, criminal offence, diseases and epidemic, electricity and telecommunications interruption, economic factors, accidents and governmental measures. EurAAP shall, as soon as practicable but in any event not later than 10 business days from the date at which EurAAP becomes aware of such event of force majeure, expressly notify the delegate of the occurrence of the event of force majeure as well as of its intent to invoke this clause by email to the email address provided at the registration of the delegate.

EurAAP shall, as soon as practicable but in any event not later than 10 business days after the occurrence of each a) and b) below, provide notice to the delegate:

​a) the cessation of an event of force majeure

​b) its ability to recommence performance of its obligations under this agreement

EurAAP has the right to immediately alter or cancel the conference or any arrangements, timetables, plans or other items relating directly or indirectly to EurAAP. EurAAP shall be relieved from any contractual or extra-contractual liability as from the occurrence of the event of force majeure.

The information that you provide to EurAAP will be used to ensure we provide you with products and services that best meet your needs. This may include the promotion of EurAAP products and services by post and /or electronic means.

EuCAP Delegates Cancellation policy

In case of cancellation of EuCAP in case of force majeure no refund can be made.

All refund/cancellation requests must be requested via email by the deadline date for refund requests. The registration fee will be refunded minus a handling fee of €60 (VAT included). There will be no refunds after this date.

EurAAP Disclaimer

EurAAP is taking all necessary measures dictated by the pandemic situation. The Organizers cannot accept liability in case of COVID infection during or in connection with travel to or from the EuCAP event, as well as for injuries or losses of whatever nature incurred by participants including travel costs, nor for loss of or damage to their luggage and/or personal belongings.

In case of partial or full cancellation of the physical event due to an event of force majeure, EurAAP will take all reasonable efforts to mitigate the effect of the event of force majeure on its obligations. EurAAP may inter alia provide to the exhibitors and sponsors online presentation possibilities using the conference website, a virtual conference and a virtual market place.

Furthermore, with the exception of any wilful damage or gross negligence committed by EurAAP, EurAAP shall not at any time be liable for any direct or indirect damage suffered by the company, consequential and immaterial damage, caused including by failure to comply with any provision of this document. The information that you provide to EurAAP will be used to ensure we provide you with products and services that best meet your needs. This may include the promotion of EurAAP products and services by post and /or electronic means. Your information will also be used to produce event materials, including badges.

If the live event reveals not to be possible due to the current pandemic situation, the sponsorship packages will be automatically transformed into the virtual packages.

By signing the contract the Exhibitors /sponsor states that the policy is understood and that he agrees with it.


Privacy Policy

EurAAP is committed to protecting your privacy, our Privacy Statement sets out what information we collect, how we collect it, what we do with it and how we protect this information.

Personal Data

In order to process your EurAAP membership, we collect personal details from you. These details may include (where applicable) names, addresses, telephone numbers and e-mail addresses, credit/debit card or other payment details. Your data may be used for the following purposes: contacting you in the event of a spreading of information about EurAAP, credit or other payment card verification/screening, administrative aspects, legal purposes, statistical and marketing analysis, systems testing, customer surveys and customer relations communications. We follow strict security procedures in the storage and disclosure of members information. Our security procedures require that we request proof of identity before we disclose sensitive information.

Site Tracking

We use tracking software to monitor customer traffic patterns and site usage to help us develop the design and layout of the websites. This software does not enable us to capture any personal information.
